We’re looking for an Archive Assistant to support the Rankin Archive in its mission to manage, preserve, ensure access to and promote the extensive use of image assets and documents from Rankin and across The Full Service Group.

The Role -

Responsibilities –

Uploading imagery and data on shoots into our digital archive system.

Support in maintaining image release schedule and usage date log.

Updating reference library and tear sheet logs.

Filing contacts and releases and capturing accurate information on image usage

and disseminating usage agreement information as required.

Providing administrative support for book and exhibition projects.

Research information for digital databases via Rankin Physical Archive.

Support of the Archive Manager in research and creation new filing structures as Rankin Group expands.

Scanning and digitization of Rankin physical assets (including negatives,

transparencies, contact sheets, vintage magazines) as requested.

Updating databases and digital archives for The Full Service, The Graft, Tonic &

True Black as requested.

Support the transition of information from current archiving system to new filing

and databases.


Support of Picture Desk Coordinator with external and internal image requests and supplying appropriate files whilst outlining allowed usage, when required.

Press Clippings - both online and physical.

Other duties as required.

About You -

Essential –

1 year previous experience within an archive or with database management

Proficiency with Adobe Bridge and Microsoft Excel. 


Strong communication skills. 


Efficient with the ability to plan ahead and work to tight deadlines and schedules.

Understanding of correct information management procedure.

Understanding of artistic practices and commitments of a creative environment.

Attention to detail

Conceptual thinking - able to identify and evaluate resources and plan for their utilization through long-range plans. 


Meeting standards - understanding requirements of correct information and maintained databases across The Rankin Group. 


Respect for policies - understanding our work practices and personal agreements with contracts and collaborators both inside Rankin Photography and externally.

Seeing Potential Problems - identify developments and suggest improvements to issues that may cause problems in the future. 


Systems Judgement - an affinity for schematic thinking. 


Analysis of data - paying attention to details and analyse all information from multiple sources. 


Organised workplace - the role’s success depends on systems and procedures, its successful performance is tied to careful organisation of activities, takes and projects that require great accuracy. Record keeping and planning and essential components of the job. 


Desirable –

Qualification in database management. 


Experience handing physical assets within a photography archive. 


Understanding of image usage rights, copyright and licensing agreements. 


An interest in photography & photographic mediums.
