About the Albany Symphony: The Albany Symphony is an orchestra dedicated to celebrating our living musical heritage and the music of our time.  Through brilliant live performances, innovative educational programs, and engaging cultural events, the Albany Symphony is committed to serving a broad and diverse community.  Based in the New York Capital Region, the Albany Symphony has won numerous national and local awards and recognition for its adventurous programming, recording projects (including a GRAMMY®), composer residencies, and in-school programs.  The Albany Symphony’s current operating budget is $2.3 million with a growing portion of revenue from subscription and group sales.

 

Summary: The Box Office & Marketing Coordinator provides ticketing services for the Albany Symphony and supports the organization’s marketing and patron services efforts.  The position requires occasional evening and weekend hours including working all Albany Symphony performances and events.  This is a full-time position, which reports to the Marketing & Patron Services Manager and supervises ticket agents and interns.  The Albany Symphony provides a fast-paced and collaborative environment and welcomes candidates from ALAANA communities.

 

Duties and Responsibilities

 

Patron Services and Audience Development:

  • Provide superior customer service by phone, in person, and in fulfilling online sales. Provide walk-in reception at the Albany Symphony office and box office services at all concerts.
  • Provide helpful information, including suggestions for events, parking options, driving directions, restaurant recommendations, access for patrons with disabilities, and any other patron services provided by the Albany Symphony.
  • Collect and maintain patron data and lists for effective communication and relationship development.
  • Provide partner venues with all information necessary to provide prompt and professional customer service to patrons.
  • Develop a knowledge of and relationship with Albany Symphony constituents including Board members, donors, and subscribers.

 

Ticketing and Transactions:

  • Manage day-to-day operations of ticketing and subscription sales, and other patron transaction including donations. Manage annual subscription fulfillment process.
  • Work with the Marketing & Patron Services Manager to establish and implement single ticket and subscription strategies to maximize revenue and properly fill the house.
  • Oversee ticket inventory, up-sell appropriate packages, services, and events.
  • Generate accurate daily financial reports and seating records.
  • Build and maintain performances and patron accounts on ticketing systems.
  • Manage special ticketing needs as well as discounts and promotions. Ensure the fulfillment of house seats, comps, and trade requests.
  • Maintain ticketing processes to maximize efficiency and ensure accounting compliance and accountability.
  • Work with Albany Symphony and venue staff to manage the setup and sales of all tickets and subscriptions at all concerts and events, will-call ticket pick up, and resolution of any seating or ticketing issues.

 

Group Sales:

  • With the Marketing & Patron Services Manager, develop and implement strategies to sell tickets to groups such as corporations, schools, churches and senior living facilities.
  • Fulfill group sales orders, collect and analyze data, and provide ongoing customer support and relationship building.

 

Marketing/Administrative:

  • Provide administrative support to the Marketing & Patron Services Manager.
  • Assist with maintenance of Albany Symphony website and social media platforms.
  • Other duties as assigned.

 

Skills and Qualifications

  • Bachelor’s degree preferred with 3-4 years of customer relations experience
  • Previous ticketing experience preferable. Experience with Ticketmaster and Theatre Manager preferable
  • Strong computer skills with knowledge of Microsoft Office Suite
  • Strong interpersonal skills with an ability to work well with people across a diverse patron base
  • Strong organizational skills and attention to detail
  • Ability to think quickly and solve problems creatively
  • Excellent verbal and written communication skills
  • Knowledgeable and passionate about the arts.  Knowledge of orchestral music a plus.
