What we’re looking for:

As Art Logistics Coordinator, you are responsible for all artwork tracking, storage, shipping and delivery logistics, and all reception functions. You’ll work directly with artists, galleries, shippers, and art handlers, to manage NINE dot ARTS’ inventory, follow up on the location of works, reporting to the acquisition group on logistics and scheduling deliveries with clients. You should be passionate about organization, problem-solving and building positive relationships with your colleagues and the arts and business communities. As the front-line face of the company, you’ll set the tone for daily operations at NINE dot ARTS.

 

What you’ll do:

Inventory Management

Object entry, acquisition and returns

Inspect packages for damage

Safely package and store all artwork

Prepare and schedule packages for shipping

Wrap artwork for returns to artists and galleries

Build a functional cataloging system to achieve maximum accessibility and efficient retrieval of all artworks coming in and out of the NINE dot ARTS HQ

Organize and present artwork at client meetings

Confer with colleagues on developing  practical methods of packing and storing fragile or valuable objects and implement best practices for storage

Recommend changes in recordkeeping or procedures to achieve optimal efficiency in our object management system

Reception

Welcome visitors to the office

Provide information, assistance, and services to clients or artists contacting the office, in person or on the telephone; answering or directing inquiries

Sort and distribute mail in a timely fashion

Help keep office neat and organized by maintaining the front reception area, kitchen, storage closet, and presentation areas. Remove shipping containers and art handling supplies in a timely manner

Recycle and file out of date artist promotions, newspapers and art magazines.

Accept deliveries and put supplies away

Office Supply Management

Order office supplies as needed, including online and local orders (e.g. hardware, grocery, and office supply stores)

Look at ordering trends and potential for cost savings

Organize current office supplies to avoid ordering duplicates

 

Skills and Qualifications Required:

2+ years of administrative experience

Preparation, planning, and precision in logistics

Communication and coordination skills

Deadline management with artists, galleries, shippers and

Passion for building systems and processes from the ground up

Self-starter who can manage deadlines and works with others to do the same

Ability to thrive in a fast-paced, self-driven, startup culture

Comfortable with change and able to adapt to changing priorities

Flexibility and eagerness to be part of a rapidly growing and evolving art advisory company  

Arts Administration or Arts Management experience is a plus
