We are currently seeking an exceptional and passionate Customer Service Administrator to join our New York office.

This is a hands on multi-functional position, which plays a key role in the day to day business operations of the Customer Service and Cashiering Departments. The Administrator will be based at the front counter, with rotation into the cashiering office when coverage is needed.

The Administrator will be responsible for a wide variety of tasks to ensure the smooth running of the Client Services Department. Responsibilities will include, but not be limited to:

  • Servicing client queries both in person and over the phone, including receptionist duties
  • Ensuring all of our public areas and meeting rooms are set up to a high standard
  • Assisting with pre and post-sale administration
  • Issuing paddles before and during auctions
  • Entering and taking absentee and telephone bids for each sale
  • Processing internet bids and web related queries
  • Managing inquiry inboxes daily
  • Managing client’s accounts, updating internal systems with client details and ensuring appropriate ID is on file
  • Engaging in cashiering responsibilities, such as handling cash and recording payments accurately, and balancing sales
  • Assisting with shipment coordination
  • Providing support during special events and offsite auctions
  • Maintaining a library of current catalogues available over the counter
  • Overseeing the opening and closing of the lobby daily

Qualifications:

  • Excellent interpersonal and communication skills, demonstrate first class customer service skills and experience dealing with a diverse range of people
  • Be a positive team player, able to maintain knowledge of departments, personnel, department experts, names and titles of senior management and executive officers, as well as branch locations
  • Experience employing quick and appropriate problem-solving skills, able to remain calm and collected under pressure
  • A genuine interest and general knowledge of art history and art market
  • Have thorough knowledge of Microsoft/Outlook and database systems
  • Foreign language(s) a plus
  • Must be flexible to cover a fluid and growing sales schedule, inclusive of evenings and weekends
