Looking for a seasoned executive assistant to support CEO and small office team.

  • Manage all aspects of CEO’s daily work life including phone, email and written correspondence
  • Prioritize and manage multiple projects simultaneously
  • Responsible for heavy calendar management, requires interaction with internal and external executives and assistants to coordinate complex schedules; both business and personal calendars
  • Schedule all appointments and maintain business/social calendar, interviews, and conferences
  • Serve as principal liaison to the staff and outside clients
  • Coordinate all business meetings - act as point of contact, assist in coordinating all logistics and materials needed
  • Assist in preparing materials and handouts for special projects, lectures, presentations and meetings using PowerPoint or other presentation software
  • Attend meetings on behalf of company and relay all pertinent matters and follow up as needed
  • Review and summarize miscellaneous reports, contracts and documents
  • Research and analyze routine projects. Prepare first draft reports
  • Help principal with fine art business - coordinate invoicing, shipments, installs
  • Coordinate, plan, and strategize all travel (domestic and international, visa experience required); detailed itineraries
  • Manage household tasks within the studio which includes keeping the kitchen clean, ordering office supplies, etc
  • Manage major projects as needed, like office renovations or special projects
  • Organize the office space and maintain filing
  • Maintain confidentiality around sensitive matters
  • Handle personal shopping and gift purchases
  • Plan occasional company events

Qualification Requirements:

  • Excellent oral and written communication
  • Excellent organizational and time management skills; ability to prioritize and juggle multiple tasks
  • Ability to work independently with minimal supervision and good judgement
  • Ability to work collaboratively with peers and staff at all levels
  • A strong desire and curiosity to learn and constantly improve
  • Tech savvy - experience with Mac & PC as well as working in a cloud
  • Highly organized and able to create and maintain systems that facilitate office productivity
  • Excellent judgment and discretion with confidential material
  • Excellent ability to problem solve
  • Able to meet tight deadlines and otherwise perform under pressure, while maintaining a calm demeanor and office professionalism
  • Professional, poised, polished
