Edward Tyler Nahem Fine Art is seeking an Executive / Personal Assistant with long term aspirations to support the chairman of the gallery.  In addition, the position calls for gallery support as a whole. The Executive / Personal Assistant will sit at the reception desk at the entrance of the gallery and handle the meeting and greeting of guests, as well as answering phones and related front desk duties. This role involves heavy personal support to the chairman, including event planning, liaising with home manager, making travel and other arrangements, etc.   We are seeking someone who has meticulous attention to detail, possesses a calm, warm, poised demeanor and works well with others. Candidates must have experience with and an understanding of the nuances involved in working with global contacts and a positive, "can do" attitude.  Knowledge of the art and production worlds is a plus!  Excellent writing, computer and communications skills are imperative.

 

Responsibilities include, but not limited to:

- Serving as gatekeeper for extremely busy gallery chairman. 

- Maintaining chairman’s day-to-day calendar and shifting schedule.

- Planning and scheduling meetings, both internally and externally.

- Working with travel agents to make international & domestic travel arrangements for chairman, creating related detailed travel itineraries and arranging meetings.

- Generating expense reports for chairman and working with gallery bookkeeper.

- Coordinating with household staff for city apartment and beach home.

- Planning various events year round.

- Drafting correspondence on chairman’s behalf.

- Limited responsibilities in overall gallery maintenance.

 

Requirements:

- Bachelor's degree preferred.

- 5-8 years of administrative assistant experience.

- Proficiency with Adobe Photoshop and InDesign highly preferred.

- Knowledge of the art and production worlds preferred.

- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).

- Strong written, oral, organizational and communication skills, with high attention to detail. 

- Must be organized and have the ability to multitask under pressure.

- Resourceful, tenacious and proactive.

- Must be discreet, mature, professional and feel comfortable working with high level clientele.

- Must be willing to submit to a background check.- Ability to work limited Saturdays required.
