Paul Kasmin Gallery New York is seeking a full-time Registration Manager. The position requires dynamic experience in logistics, standard registration best practices, and expert technical knowledge of customs requirements, VAT, Sales & Use Tax laws and regulations. The Registration Manager is to take an active role in the professional growth of a three-member team while managing budget, workflow, and ensuring assigned tasks are completed in a timely, efficient, and cost-effective manner all with the utmost professionalism.

Primary responsibilities include but are not limited to:

• Takes an active role in managing each team member of the department; tasking responsibilities, work-flow, technical knowledge & best practices training, ensuring each report is given the tools and provided the opportunity to thrive within an organized and structured department through active feedback loops and performance management

• Complete ownership of Exhibitions and Art Fairs logistics; including but not limited to planning, budgeting, consignments, shipping, crating, storage, conservation, framing, customs & VAT, etc.

• Oversee physical handling for installs and exhibitions with art handling teams

• Coordinate of all intercompany, local, domestic, and international shipments; Providing packing & handling requirements, complete condition reports

• Draft and oversee consignment and loan agreements

• Compile, process, and manage records of all associated shipping paperwork in accordance with New York State Sales Tax requirements • Ensure gallery is in compliance with all import/export, VAT, Sales & Use Tax laws and regulations.

• Manage the gallery’s Fine Art insurance policy and serve as the gallery’s point of contact for all policy related matters including but not limited to renewals, claims, insurance values.

• Complete management of artwork modules in ArtLogic inventory database including but not limited to standardization of records, maintenance, and establishing policy.

• Submit shipping invoices with appropriate coding and add costs to the database and internal tracking schedules.

• Effectively communicate with internal teams including the warehouse, truck, and prep of all incoming/outgoing shipments and maintain an organized shipping calendar on the gallery-wide network.

• Proactively ensure departmental budget and forecast goals are being met while working with Finance to establish expectations, review cost-overages, accruals, etc.

• Take a proactive role in assessing and streamlining the sales order process and other logistical processes across the organization • Active collection management of all third-party storage sites and gallery-run warehouse.

• Manage and cultivate vendor relationships to allow for agility while actively searching for new ways to reduce costs.

• Serve as a resource to educate sales & administrative staff of current and any changes to rules & regulations related to sales & use tax, import/export taxes, VAT, best practices, etc.

• Lead and organize annual inventory audits of consignment & stock inventory.
 

Qualifications:

• Minimum of 5 years experience at a large contemporary art gallery.

• Experience managing a department and team is a plus.

• Knowledge of ArtLogic a plus. • Proficiency with Microsoft Excel is required.

• Excellent written and verbal communication skills a must.

• Must be able to handle multiple tasks, prioritize and projects in a fast-paced, high-pressure environment.

• Highly organized, punctual, and detail-oriented.

• Salary Commensurate with experience, plus full benefits. • Monday-Friday, 10 am – 6 pm; additional hours for events and exhibitions as needed.
