Artadia seeks a full time Operations and Finance Manager based in New York to join our dedicated team. The Operations and Finance Manager facilitates smooth, effective and efficient daily activities of Artadia. Reporting to the Deputy Director and the Executive Director, the Operations and Finance Manager maintains high standards of operations and organizational oversight. Primary duties include finance, governance, human resources, organizational planning and office management. As a manager, this position will be instrumental in enforcing the values and the culture of the organization. In addition to being responsible for maintaining the physical and virtual workspace, the OFM will help to facilitate a culture of belonging, and to create systems of accountability and ease. 

 

Responsibilities include:

1. Governance

    - Finance (with ED, DD and bookkeeper), creation and maintenance of quarterly budgets and program budgets, record keeping and coordination with bookkeeper. 

    - Tax (with accountants, auditors, and bookkeeper)

    - Insurance (with brokers)

    - Administration and digital record keeping

    - Internal systems management

    - Quarterly budget creation and management (with bookkeeper)

    - Manage fiscal sponsorship program (with Development team)

 

2. People

    VENDORS

    - Contracts (with artists, jurors, as well as all vendors)

    - Management of relationships with vendors

    - Payments

    HUMAN RESOURCES

    - Hiring (with Deputy Director)

    - Onboarding

    - Policies 

    - Compliance

    - Work flows and internal project management systems

    - Staff meeting coordination: scheduling and agenda 

    - Health insurance, PTO maintenance

    ORGANIZATIONAL PLANNING

    - Tactical planning

    - Project management

    - Database management (dotorg, Salesforce and Mailchimp)

    - Calendar management 

    OFFICE MANAGEMENT

    - Office Maintenance

    - Logistics and registrarial duties

Interested candidates should have 5+ years of related experience in office management at a comparably sized business, non-profit organization. 

Applicants should possess excellent communication and interpersonal skills and be highly motivated, proactive, detail-oriented, and responsible. Candidates must have exceptional computer skills, particularly with Mac operating systems. Artadia actively works with Slack, Dropbox, Google Docs, BaseCamp, Salesforce, dotorg, MailChimp and WordPress.
 

Position hours are 40 hours a week 10-6 M-F. We currently have a hybrid work schedule: working part time from home and part time in the Brooklyn office as we transition, and plan to resume regular office hours in September.
