Key Responsibilities include, but are not limited to: 

 

Executing, coordinating, tracking, and maintaining records for the shipping, installation, and storage of artworks. 

 

Executing, coordinating, tracking, and maintaining records of condition reports, appraisals, insurance, loan agreements, and consignment agreements. 

 

Writing, managing, archiving, and monitoring the status of invoices and bill-outs. 

 

Actively keeping the auction/art fair/biennial calendar up to date, and proactively arranging for auctions tickets/paddles and at fair/biennial passes/tickets well in advance. 

 

File and Client Database maintenance 

 

Assistance with research, organization, and formatting of documents for sales. 

 

Maintaining gallery and museum lists of exhibitions for relevant cities. 

 

Researching and formulating documents in advance of special international exhibitions and biennials. 

 

Reaching out to galleries and auction houses requesting material in advance of art fairs and auctions. 

 

Rendering artworks in spaces on photoshop. 

 

Tracking incoming office emails and correspondence.

 

Providing general assistance, structure and organization to the office’s schedule and workflow. 

 

Ad hoc projects and administrative support as requested and required. 

 

Qualifications and Requirements:

 

A self-starter with the ability to work independently. And, an enthusiastic and collaborative team player, willing to take on multiple tasks and support the team in achieving objectives.

 

Excellent judgment, with the ability to understand the high level objectives of tasks. 

 

The ability to prioritize, and anticipate, tasks independently. 

 

Highly organized and efficient, with the ability to manage a heavy workload in a fast-paced environment.

 

Highly detail-oriented (with great attention to consistency of formatting, archiving etc).

 

Excellent written and verbal communication skills

The role involves some client interaction, requiring the candidate to be polished and enthusiastic, and possess discretion, sophistication, and poise.

Work Environment:

 

This position is primarily remote. However: 

 

The selected candidate must be available to attend meetings/installations/viewings/etc in New York City on same-day/short notice. 

 

The selected candidate will be expected to attend all New York evening auctions and art fairs. 

 

The selected candidate will be expected to attend in-person meetings during New York auction and art fair weeks. 

 

Experience: 

 

Minimum of 3 years of experience in a similar role at an art gallery, advisory, or auction house (internship experience included), with knowledge of both primary and secondary art markets.  

 

BA and/or MA in Art History or a related field

 

Proficiency and experience with art shipping, logistics, and administration. 

 

Experience with sales support. 

 

Working knowledge of Mac computers, Microsoft Creative Suite, Google Docs, Excel, Filemaker Pro, Trello, Artnet Database. 

 

Working knowledge of Photoshop is preferred. 

 

Compensation: 

 

$50,000-60,000, annually, commensurate to experience
