Job Description

Report directly to the Directors of StudioEIS in a support role within the organization. You will be responsible for the efficiency and organization of key elements in the day to day operations of the company, including administration, operations, and office management. Strong research and communication skills are essential as this position involves research for the purpose of marketing as well as historical research for projects. Previous experience supporting senior executives and managing complex calendars is preferred as well as the ability to work well under pressure in a busy and dynamic environment. You will be supporting a variety of individuals, flexibility and adaptability are key.

Responsibilities

  • Provide day to day administrative support including but not limited to: email correspondence, answering phones, maintaining files, archiving, organizing and scheduling meetings, managing the company calendar and assisting with special projects as needed.
  • Day to day office management will include correspondence with clients and service providers, organization, mail pick-up and arranging FedEx or other deliveries. Plan and implement staff events, coordinate guest sculptor stays and client visits.
  • Marketing research is an essential component to this position. Understanding and researching potential new work for the studio, creating a bullet point sheet of deadlines, submission requirements etc. for director review. Consistent follow up and overseeing that submission of proposals are completed on time.
  • Must follow closely shared EIS calendar. Be aware of all meetings, client visits, castings, travel plans and deadlines.
  • Assist with historical research for StudioEIS projects.
  • Help with coordinating hiring outreach for new staff at StudioEIS
  • Assist directors as needed with specific tasks. Bill paying, lectures, presentations, research and any other tasks as needed.
  • Social media oversight.

Award winning theatre producers Theatr na nÓg are looking for an assistant to support all aspects of the company’s work.

This is a fixed term position until 1 November. We invite applications for people looking for a full-time position or shorter days to accommodate school hours during term time.

As well as general office duties you'll be helping us with the planning of our two Autumn productions, one which is touring the UK, the other a 7-week residency at a theatre in Swansea. You will be liaising with schools before the summer holidays from our office in Neath to book them in. Then based at the theatre in Swansea to meet and greet the schools from the beginning of September to the end of the contract.

Titus Kaphar Studio is seeking a part-time experienced Administrative Assistant to assist the Studio Manager and Artist for 20-30 hours per week.

The ideal candidate is professional, hardworking, detail-oriented and able to prioritize tasks in a fast-paced multi-disciplinary artist’s studio. Individual must have previous office experience in an artist studio, a fine art gallery, an auction house or a museum, and can demonstrate strong writing and graphic design skills. The individual must also have excellent verbal communication skills and a professional demeanor. This position requires a flexible personality and the ability to work well within a group, as well as, independently.

RESPONSIBILITIES: Administrative Assistant will be responsible for supporting the Studio Manager and Artist in day-to-day operations. This individual will also work with other supporting studio members to ensure open communication of overall activities in the studio.

  • Tasks include:
  • Assist Studio Manager with all administrative tasks.
  • Write press releases, editing catalogues, editing artist’s biography and statements.
  • Answer image requests, prepare hi-res images to press and publishers.
  • Maintain artwork inventory, existing database and image for paintings, photographs, and other media. Create new archival systems if necessary.
  • Coordinate travel arrangements for artist and companion/s, for lectures, exhibitions, and special projects.
  • Work with production team to determine materials needed and purchase office supplies as needed.
  • Create and maintain quarterly e-newsletter.
  • Ability to scan documents, slides and transparencies efficiently.
  • Assist with studio special events.
  • Coordinate internship projects for the studio needs and assist in additional studio tasks to include: opening & sorting mail, running errands, maintaining studio cleanliness, scanning and faxing, fielding phone calls, scheduling messenger pickups and deliveries, and other duties as needed.

Required Qualifications:

  • A minimum of 2-3 years of proven office administrative experience at an artist’s studio, gallery or museum. 
  • A Bachelor's degree in Art Administration, Art History or related field preferred.
  • Excellent writing skills and interest in developing a deep knowledge for the artist’s practice.
  • Proven Photoshop, Graphic Design Software, ArtBase, Icontact, and social media experience.
  • Able to multitask in a fast-paced and often times high-pressure work environment.
  • A confident and articulate team player with excellent problem-solving skills. 
  • Well-organized, punctual and detail-oriented an absolute must.
  • Interest in African American History and contemporary art.
  • Drivers license a plus
