Office Manager for Chevo Studios (Commerce City CO)

Chevo Studios is a one of a kind company that creates public art and urban design projects. The company consists of the owner/lead artist, Andy Dufford, project manager, construction manager, studio assistant, office manager, and a network of talented subcontractors.

The Office Manager supports this work by providing efficient administrative support and maintaining an orderly office environment. The job currently requires 8-16 hours a week, but may expand depending on applicant’s interest and skills.

Summary of Duties:

General Administration

  • Maintain contacts database and general filing systems (electronic and physical).
  • Manage voicemail, respond to general email and other correspondence. Oversee backups and software updates of main office computer (iMac).
  • Manage required paperwork and documentation for personnel.
  • Coordinate with bookkeeper (out-of-house) for:
    • regular payment of invoices (accounts payable)
    • credit card transaction reconciliation
    • filing of local, state and federal taxes and fees
  • Keep office stocked with needed supplies.
  • Coordinate insurance needs for the business and for specific projects
  • Keep government registrations up to date
  • Oversee maintenance of office equipment and utilities – internet, phone & printer
  • Occasional errands as needed

Project Administration – At any given time, Chevo Studios is working on projects for a variety of government, private, and non-profit clients.

  • Tracking expenses on each project is essential to keeping spending within approved budgets. The Office Manager coordinates with Project Manager, other staff and bookkeeper in coding expenses according to established budget categories.
  • Making travel arrangements for work on remote projects and providing logistical support.
  • Orderly filing of project contracts and other legal and insurance documents.

Job Requirements: Strong sense of organization and attention to detail. Ability to work as a team member. Good communication skills (oral and written). Facility in use of Apple computer, Microsoft Word and Excel, Adobe Acrobat Pro. Scheduling flexibility is helpful. Bookkeeping experience is a plus.

Compensation: $16-20/hour on a contract basis. Final hourly wage depends on skills and experience.
