The Gallery Manager plays an essential role on our team. As the Manager, you are responsible for not only the behind-the-scenes operational aspects of the gallery but you also set the tone ensuring that our clients receive an exceptional on-brand educational experience when they visit, call, or email. You are exceptionally professional and have well-honed organizational and project management skills and are eager to apply your administrative abilities to creative work in a dynamic space. You love the arts and have good working knowledge of contemporary sculpture, design, and craft. You enjoy working with artists and other creative professionals and are eager to be more actively engaged in the fine-arts field. The ideal candidate wants to grow in this role and is excited to acquire and hone their sales and curatorial skills. Regualr work week is Tues-Sat, must be able to have a flexible schedule and able to work outside of normal hours.


Your overall responsibilities:

● Be the friendly, knowledgeable, and welcoming face of the gallery 

● Be the eyes and ears of the gallery at all times. Listen & record/convey information to team accordingly

● Develop expert understanding and knowledge of gallery philosophy, history, artists, and clients

● Gallery Registrar – manage all inventory traffic (in, out, loan, display, RTA, etc.). Process loans, on-approvals, display contracts/coordination

● Maintain & update artist files & binders

● Manage gallery calendar

● Work with directors and associates to meet and exceed monthly sales goals. Provide sales support as needed.

● Work with Director and Founder to conduct art appraisals/manage client appraisal files

● Work with Bookkeeper to send and record monthly artist and vendor payments, bills, open client statements, and weekly, monthly and annual sales reconciliations

● Act as HR “department” assisting employees with questions & concerns and work with Director and Bookkeeper on insurance and benefits, PTO and sick leave. Maintain employee handbook

● Collect & reconcile time sheets for employees/compile for Bookkeeper or Director

● Manage gallery files, both digital and physical

● Manage exhibition coordination (acquiring artist info and images, inventory, updating website exhibition pages, installation schedule, shipping, staffing, reminding artists of deadlines,

catering, security, etc)

● Assist with exhibition set-up and installation as required

● Coordinate and manage special events, art-fair planning, travel, and gallery rentals

● Contribute to a positive work environment and client experience; keep it upbeat and fun

● Oversee and manage maintenance of gallery spaces

● Manage phones/voicemail/general gallery email account

● Assist with maintenance & updates of the gallery website

● Maintain and update mailing lists and e-lists

● Process sales and scheduled/ongoing payments

● Coordinate shipping with Shipping Manager, facilitate all client shipping and billing

Gallery Administrator

Our San Francisco location is seeking an experienced administrator for a full-time position. The administrator must be flexible, have a positive attitude and willingness to learn, support the sales staff, and can work well under pressure and deadlines. The Gallery Administrator will need to balance day-to-day operations as well as larger ongoing projects, be self-motivated, and understand how to prioritize tasks. This is a wonderful opportunity to join an amazing team and established Art Gallery.

Minimum Qualifications:

  • B.A. or B.S, prefer related field such as Business or Liberal Arts.
  • MUST have at least 2 years’ experience in gallery role.
  • Located in the greater Bay Area, no out of state applications. 

Skills & Abilities:

  • Proficiency in Mac OS X, Microsoft Suite, Adobe Acrobat and Photoshop, Filemaker Pro, Wix or EditorX.
  • Requires exceptional writing, editing and proofreading skills, with emphasis in creative writing.
  • Ability to handle up to 20lbs.
  • Position will require attendance at gallery openings on evenings or weekends.
  • Role requires strong interpersonal and communication skills, as well as ability to problem solve 
  • Prefer experience with Adobe Creative Suite, InDesign & Premiere Pro.


  • Marketing & Website – keeping website & Artsy current,
  • creative writing, managing social media, 
  • Art Consultant support – Photoshop renderings of artworks on walls, creating appraisal letters, mailing books, photographing or videoing artworks for clients, screening client inquiries.
  • Exhibition management – keep track of exhibition deadlines, order vinyl lettering, photograph installation, coordinate with printer and mail house, creating and sending press releases
  • Events & Art Fair organization – coordination of art fair materials, pack or order supplies for fairs, prepare for gallery receptions.
  • General Office Management & Gallery Maintenance – file organization, IT support, facility maintenance, database upkeep.
  • Miscellaneous extra duties, such as assisting bookkeeper, as needed.
