Bilingual Personal Assistant

Tasks will include :
Daily managing of schedule and update in real-time
Preparation of daily, weekly and annual calendars
Coordinating with other parties for meetings, restaurant reservations, etc.
Managing incoming physical mail and RSVPs
Preparation of daily updates of correspondence
Collect and collate business cards and contact information, classify, update         
Regular filing of all paperwork (personal, business, project related and otherwise as instructed)                
Organization of all files on computer       
iPad / iPhone syncing + update with new projects
Organising extensive travel arrangements 
Preparation and submission of monthly expense reports
Managing domains, email accounts for the Gallery
Updating contact database with new gallery contacts and the director personal contacts

There could also be some general personal apartment maintenance and management (coordinating repairs, renovations etc)

Perfect English and French with excellent oral and written skills in both languages
Proactive and able to take initiative
Good at prioritizing
Excellent organizational skills with the ability to work well under pressure 
Discreet and respectful of specific procedures and confidentiality
Flexible schedule (work may include working past office hours and occasionally on weekends)
Excellent presentation
Competent in MAC, Proficient in Word, PowerPoint, Excel…
IT skills
Interested in art

The position can be developed as the person evolves with the role. It could be either a woman or a man. It could be a bright dynamic junior or someone with more experience and salary will depend on experience.
