3 days per week, including Saturdays

Working closely with program staff, the part-time Registrar will manage the movement of artwork in and out of IPCNY’s space—and the care of objects on site—for the purposes of exhibitions, fundraising auctions, shop sales, and benefit prints. Working with a dynamic, small staff in an open office environment connected to an exhibition space, the Registrar will be responsible for procedures and related administrative paperwork for loans, donations, sales, framing, and shipping; monitoring gallery conditions, storage, and objects to ensure their safety while on site; managing IPCNY’s print inventory; and maintaining organized and stocked supplies.

IPCNY—now in its twentieth year and undergoing strategic planning—is poised for major growth as the leading non-profit in New York City dedicated to exploring the print medium as dynamic and relevant to broader artistic and cultural discourse. The part-time Registrar is a new position playing a key role in that organizational development. It is ideal for a detail-oriented and mission-driven self-starter who can implement processes supporting efficient and organized artwork management, and can anticipate the needs of an expanding non-profit.

IPCNY is currently open to the public, with staff working a hybrid remote and in-office schedule. The Registrar will work in-office. When more than one staff member is on site at a time, we maintain a socially distanced workplace and adhere to the CDC’s workplace guidelines during COVID. 

 

Responsibilities: 

Exhibitions, in close collaboration with program staff: 

Prepares and shepherds loan agreements, and maintains up to date insurance schedules 

Prepares, conducts, and archives incoming and outgoing condition reports for objects on loan

Coordinates transport of art objects, liaising with a range of shipping vendors including fine art shippers and commercial carriers 

Prepares customs documentation for international shipments and makes recommendations on best practices for international shipping 

Regularly updates expenses for budgeting purposes

Coordinates framing as needed
 

Print Inventory and Sales:

Sorts, organizes, and culls print inventory, and creates a system for inventory management moving forward, to prepare for a potential move 

Maintains accurate inventory of print shop flat files, coordinating object photography, recording object information, and ensuring proper housing of objects. 

Shepherds packing and shipping of print shop sales; updates inventory on online shop page 

 

Annual Benefit Auction: 

Oversees paperwork for and shipping of annual benefit auction artworks

Oversees transport of future benefit prints from point of production

 

Gallery and Materials: 

Following calendars set by program staff, schedules freelance preparators and photographer

Monitors environmental conditions in the gallery 

Coordinates ordering and purchasing of installation, storage, and packing supplies 

Other related duties as assigned as special projects arise 

Qualifications: 

Associate’s or Bachelor’s degree in a related field

2–3 years of relevant professional experience

Demonstrated knowledge of procedures for art handling, storage, and condition reporting experience in prints and/or works on paper preferred but not required

Art handling and packing skills desirable 

Experience with customs procedures pertaining to international shipping of fine art preferred 

Strong interpersonal, written, and verbal communications skills

High attention to detail, proactive thinking and problem-solving skills

Ability to set priorities, follow through, balance multiple tasks, and meet multiple deadlines

Ability to work independently and collaboratively in a team-oriented environment
