The Communications & Event Planning Manager (CEPC) reports to the Festival Director and is responsible for a wide variety of responsibilities that change over this full-time, year-round contract.

This part-time position would begin immediately, focusing on communications for the festival, marketing and branding of our 2020 Festival and year-round projects, and coordinating Gimli Film Festival’s printed program advertising sales. It also includes working with the design team on our 2020 creative and leading off-season marketing events and opportunities. The position also includes coordinating smaller (often local) sponsorships with support from the Festival Director.

In April/May, the CEPC position will shift towards executing the overall logistics event plan for the festival, which involves creating a master plan for logistics for all events at the Gimli Film Festival and coordinating staff, volunteers, resources and transportation of goods and services to and from the festival for all festival events. The CEPC is responsible to help prep, train and manager our Logistics Coordinator and Volunteer Coordinator, with support from the Festival Director.

The CEPC must be available to work in Gimli from June 1 to Aug 5, 2020.

Communications & Marketing Duties

  • Manage Social Media postings on a daily basis (Facebook, Twitter, Instagram)
  • Managing media relations, writing press releases & general communications duties.
  • Assist in website management (postings, updates, maintenance)
  • Work with Photoshop / InDesign to do some in-house design work (a definite asset, but not absolutely required)
  • Coordinate all advertisement sales for printed GFF program guide
  • Coordinate low-level sponsorship agreements with support from the Festival Director
  • Support Festival Director with additional sponsorships and activities as required
  • Lead off-season marketing events and opportunities.
  • Marketing Coordinator must be available to travel to Gimli as required.

Event Planning & Logistics Duties

CEPC is responsible to oversee all logistical duties at GFF, but should fully train and rely on the Logistics Coordinator (contract position, May-July) to execute these duties. However, it is the CEPC’s responsibility to create the master plan for event logistics, manage the Logistics Coordinator, and - if necessary - step in to make sure all logistics are properly managed.

  • Develop a detailed schedule of logistical activities for all major activities including but not limited to:
  • Operation of Indoor Venues: Lady of Lake Theatre, Aspire Theatre, Lutheran Church, Gimli Theatre (in coordination with the Senior Film Programmer and Festival Manager)
  • RBC Sunset Screenings (5 nights) and RBC Beach Boardwalk (Fri & Sat before screening)
  • Box Office Setup (late-June)
  • Gimli campground (run by private company, but new in 2020)
  • VIP / Opening & Awards Gala Receptions (lead by Hospitality Coordinator)
  • Saturday night Awards Gala (lead by Hospitality Coordinator)
  • The logistics schedule should consider:
  • Vehicles to deliver items & timing of deliveries and return of items
  • Security of items
  • Safety of volunteers & participants
  • Clear communication of schedules to all involved
  • Ensure a comprehensive outdoor signage plan is developed and executed in the town of Gimli including safe return and storage of signage.
  • Organize, receive, distribute, collect and return all GFF equipment used during the festival, including the documentation of inventory before and after.

Qualifications

  • Excellent understanding of the local and global filmmaking community and industry
  • At least two years experience in marketing or logistics (communications, event management, etc.)
  • Ability to live in or near Gimli from June 1 – Aug 5 is required
  • Must demonstrate ability to multi-task in a fast-paced environment and meet deadlines
  • Must demonstrate the ability to take initiative, show good judgment, and manage projects from beginning to end
  • Must demonstrate ability to manage other staff and volunteers
  • Excellent writing, editing and proof-reading skills
  • Technical A/V, graphic design or video editing skills a considerable benefit
  • Must be self-motivated and work effectively both independently and as part of a team

Contract Terms

Start date: As soon as possible.

End date: October 31st, 2020

Position is suggested to be 4 days a week, from August 1st – May 31st, but could range from 3-5 days per week, depending on candidate’s experience, qualifications and own personal preference.

CEPC must be available to work in Gimli from June 1st to August 5th, 2020 and will be required to travel to Gimli from time-to-time during the rest of the year.

CEPC reports to the Festival Director and will work closely with many other GFF staff, including the Logistics Coordinator, Volunteer Coordinator, Box Office Coordinator, Hospitality Coordinator and GFF Board of Directors.

Pay range from $17 - $25 per hour / $35,000.00 to $50,000.00 /year  (depending on experience)
